1. What Information We Collect


Why We Collect Identifying Information


Your name, mailing address, personal address, business address, email address, phone number, and business name may be collected to verify eligibility for our low‑income program, communicate with you, and deliver services. 


Financial / Income Information 


Tax‑return excerpts, pay stubs, SBA size‑standard documentation, and self-certification statements to confirm that you meet the low‑income qualification criteria required for our pro‑bono services. 


Professional / Business Information 


Business type, industry, number of employees, website URL, and  EIN. To tailor our consulting, assess IP needs, and prepare appropriate filings. 


IP‑Related Information 


Drafts of logos, taglines, artwork, code snippets, invention disclosures, and trademark search results provide the branding/IP consulting services you request. 


Technical / Usage Data 


IP address, browser type, device type, cookies, and analytics data (if you visit our website). To improve our website usability, security, and to understand how users interact with our online resources.


Communications 


Emails, messages, meeting notes, and recorded webinars document the advice we give, follow up on action items, and maintain a record of the consulting relationship.

We collect information only when you voluntarily provide it (e.g., via a service request form, email, or during a consultation).


2. How We Use Your Information


We use your personal information for the following purposes and retain it only as long as necessary to fulfill those purposes or as required by law:


  1. Eligibility Determination – Confirm that you qualify for our low‑income, pro‑bono program.
  2. Service Delivery – Prepare, file, and manage trademark, copyright, trade‑secret, and branding projects on your behalf.
  3. Communication – Respond to inquiries, schedule meetings, send status updates, and provide educational resources.
  4. Administrative Functions – Maintain internal records, track project milestones, and comply with legal or regulatory obligations (e.g., record‑keeping for USPTO filings).
  5. Security & Fraud Prevention – Detect and prevent unauthorized access, identity theft, or misuse of our services.
  6. Website Analytics – Aggregate, non‑identifiable data to improve site performance and user experience.
  7. Legal Obligations – Disclose information when required by a subpoena, court order, or other lawful process.


We do not sell your personal information to third parties.


3. Sharing & Disclosure


Recipient Reason for DisclosureGovernment Agencies /Courts 


To comply with legal requirements (e.g., USPTO, Copyright Office, law enforcement), we may share your personal information.


Service Providers (e.g., cloud hosting, email delivery, analytics platforms). To store data securely, transmit communications, or analyze website traffic. These providers are bound by contractual obligations to keep your data confidential and use it only for the services we specify. 


Professional Advisors (e.g., accountants, auditors), when necessary for financial or compliance reporting.


Potential Partners (only with your explicit consent),  if you request introductions or collaborative opportunities. We never share your personal information for marketing purposes without your explicit opt‑in.


4. Your California Privacy Rights (CCPA)


As a California resident, you have the following rights concerning your personal information:


  1. Right to Know – Request a description of the categories of personal information we have collected about you and the specific pieces of data we hold.
  2. Right to Delete – Request deletion of your personal information, subject to certain exceptions (e.g., we must retain data to complete a trademark filing you authorized).
  3. Right to Opt‑Out of Sale – We do not sell personal information; therefore, this right is not applicable, but we will honor any request to restrict sharing beyond the purposes described herein.
  4. Right to Non‑Discrimination – We will not discriminate against you for exercising any of your CCPA rights.
  5. Right to Correct – Request correction of inaccurate personal information we maintain about you.


How to Exercise Your Rights


Send a verified request (email, mail, or fax) to the contact information below. Include:


  • Your full name and contact details.
  • A description of the request (e.g., “Please provide all personal data you have on file for me,” or “Please delete my personal data”).
  • Proof of identity (e.g., a scanned government ID) to protect against fraudulent requests.


We will respond within 45 calendar days. If we deny any portion of a request, we will provide a clear explanation and the legal basis for the denial.


5. Data Retention


  • Eligibility Documents – Retained for 3 years after the conclusion of the service engagement to verify compliance with our low‑income program criteria.
  • IP Project Files – Kept for the duration of the project plus 7 years after final delivery, to satisfy statutory record‑keeping requirements (e.g., USPTO filing archives).
  • Website Analytics – Aggregated, de‑identified data is retained for 24 months.
  • Communications – Stored for the length of the engagement and then deleted, unless needed for legal defense or regulatory compliance (up to 7 years).


When the retention period expires, we securely delete or anonymize the data.


6. Security Measures


We employ reasonable administrative, technical, and physical safeguards to protect your personal information, including:


  • Encryption of data in transit (TLS) and at rest (AES‑256).
  • Access controls limit data to authorized staff who need it to perform their duties.
  • Regular security assessments and vulnerability scans.
  • Secure backup and disaster‑recovery procedures.


While we strive to protect your data, no method of transmission over the Internet or electronic storage is 100 % secure. We cannot guarantee absolute security.


7. Children’s Privacy


Our services are not directed to children under 13 years of age, and we do not knowingly collect personal information from anyone under that age. If we become aware that we have inadvertently collected such information, we will promptly delete it.


8. International Transfers


All personal information we collect is stored on servers located within the United States. We do not transfer your data to jurisdictions outside the U.S. that lack comparable privacy protections.


9. Changes to This Privacy Policy


We may update this Privacy Policy to reflect changes in our practices or applicable law. When we make material changes, we will:


  1. Post the revised policy on our website with a new “Effective Date.”
  2. Notify you via the email address you provided (unless you have opted out of such notifications).


Your continued use of our services after any revision constitutes acceptance of the updated policy.
